Bands, creators & clubs

Merch order form template

A merch drop is a pre-order with a fanbase: you post it, orders spike for two days, and then you have to turn a flood of comments and DMs into a print run and a stack of shipping labels. Miss a size or a shipping charge and it comes out of the tour float.

This template runs a drop the way bands, creators and clubs actually do it — tees by size, a bundle that lifts the average order, a hard closing date, a cap on every line so you don't oversell the run, and shipping as its own priced line.

Field by field

What to put on a merch order form

  • A hard closing date in the description

A drop without a deadline never converts — the deadline is the product. Put "closes Sunday or when it sells out" in the first line and honour it.

  • A cap on every line

Your print run and your vinyl pressing are finite. A per-line cap is the difference between a sold-out drop and a stack of refund messages.

  • A bundle to lift the average order

A tee-plus-vinyl bundle at a small saving is the single easiest way to raise what each fan spends. Price it as its own line and let the saving do the work.

  • Shipping as a priced line, with a fulfilment choice

Shipping is the most disputed number in any drop. Anything with a price must be a product line so the total computes — a flat-rate line capped at one, with a pickup-or-ship dropdown beside it. A rate written into an option label is only text and never gets charged.

Merch order form template FAQ

+What should a merch order form include?

Your items with sizes as separate priced lines, any bundles, a hard closing date, a cap on every line, a shipping line with a pickup-or-ship choice, and contact details — email plus a handle or phone.

+How do I stop a drop from overselling?

Put a maximum quantity on every line matching your print run or pressing, and close the form once it sells out. The spreadsheet log tallies units per size so you can watch the cap approach.

+How should I charge for shipping?

A flat rate as its own product line, capped at one per order, with a pickup-or-ship dropdown beside it — never a rate typed into an option label, which looks charged but never reaches the total.

+Can I reuse this for the next drop?

Yes. Duplicate the file, or with the online version edit the products and dates and reuse the same link — past drops stay in your dashboard.

+Is the online version free?

Yes — free while we're in beta, with unlimited forms and unlimited orders, and totals calculated for you on every order.
