Pre-orders without a deadline never convert — the deadline is the product. Put it in the first line of the description and honour it.
A maximum quantity on every line
Your batch size is finite. A per-line cap is the difference between a sold-out run and forty apology emails.
Shipping as a priced line, with a fulfilment choice beside it
Shipping is the most common reason a pre-order total is disputed. Anything with a price must be a product line so the total computes — put the flat rate on a line capped at one, and keep the pickup-or-ship dropdown for the intent. A rate written into an option label is only text, and it never reaches the total.
An optional "needed by" date
Gifts have deadlines. Knowing about them at order time lets you sequence the run instead of rescuing it.

A pre-order form takes orders for something you haven't made or received yet. It records the item, quantity, price and buyer details, and it states clearly when the goods will be ready — so both sides know what was agreed.
Put a maximum quantity on every product line and close the form once the run is full. In the spreadsheet version, the order log tallies units per product so you can see the cap approaching.
Deposits are common for made-to-order work and full payment is common for drops. This form captures the order and the total; you collect payment with your usual method — a payment link in the confirmation email is the simplest.
Two to four weeks is typical. Long enough that your audience sees it more than once, short enough that the deadline still feels real.
