The school-office order pile

A different paper form for everything

Yearbooks on one slip, lunch on another, spirit wear on a third — all coming back to the same office counter in the same illegible pile.

Orders don't match students

A name half-written, a class left blank, and a volunteer matching handwriting to the roster before anything can be handed out.

The treasurer reconciles by hand

Cash, cheques, and online payments across four drives, totalled by hand at night because nothing added itself up.

Why QuickOrderForm

Built for the whole school year

One account, many forms

A form per drive — yearbook, lunch, spirit wear, fundraiser — each with its own link and its own order list, all under one login the office shares.

Every order credited to a student

A required student-name and class field on every form means orders sort themselves by classroom, so distribution is a list, not a matching exercise.

Weekly forms you reuse

Hot lunch is the same link every week: edit the menu, reopen, and orders land already labelled by name and room.

Totals the treasurer can reconcile

Every order carries a calculated total, and a one-click CSV export totals each drive — so cash, cheque, and online all reconcile against the orders.

From link to fulfilled, in three steps.

  1. 1

Set up a form per drive

Yearbook, lunch, spirit wear, fundraiser — each with its products, a required student-name and class field, and a closing date in the description.

  2. 2

Share each link where families are

Class email, the PTA newsletter, a QR on the flyer. Reuse the lunch link weekly; open seasonal forms as each drive starts.

  3. 3

Distribute and reconcile from the dashboard

Sort each drive by class for handout, export the CSV for the treasurer, and mark orders fulfilled as they're collected.

What to put on a school or PTA order form

Whatever the drive, a school form needs to tie each order to a student and add itself up. The essentials:

  • Products at the set price

Yearbook, lunch week, spirit garment — priced so the order self-totals and reconciles against the invoice.

  • Student name (short text, required)

The field that makes every order attributable and every handout a name check.

  • Class, grade or homeroom (dropdown, required)

Sorts distribution by classroom — the dashboard groups the whole drive by it.

  • Allergies or notes where relevant

For lunch and food drives, capture dietary needs in writing with the order, every time.

Frequently asked questions

+Can we run several drives at once?

Yes — build a form per drive. Each has its own link and order list, so a yearbook pre-order, a weekly lunch, and a spirit sale never get mixed together, all under one account the office shares.

+How do orders get to the right student?

Make the student name and class required on every form. Sort or export the dashboard by class and each classroom's orders come off the list together for distribution.

+How does the treasurer reconcile payments?

Every order carries a calculated total, and the CSV export totals each drive. Collect cash, cheque, or online however you do now — the numbers reconcile against the orders instead of a shoebox.

+Is it free for a PTA?

Yes — free while we're in beta, with unlimited forms and orders, and no per-order fee taken out of what you raise.
