Craft fair order form template

Every market day produces the same conversation: "do you have this in green?" You don't, they'd buy one, and the order gets written on the back of a card that goes through the wash.

This template is the stall order book: what they want, how it's personalised, when and where they'll get it, and a handle to reach them by — captured in a minute while they're still standing at the table.

This is the live craft fair order form — fill it in, watch the total move. It's exactly what your customers would use.

Field by field

What to put on a craft fair order form

  • A shipping line priced as a product

Makers lose real money absorbing postage. Anything with a price must be a product line so the total computes — a flat-rate line the customer adds, capped at one, keeps the total honest and takes the negotiation out of it. Written into a dropdown option instead, "+ $7 postage" is just text and never gets charged.

  • Personalisation as short, capped text

State the character limit in the help text. "Up to 30 characters" prevents the message that won't fit on the label — and the reprint that follows.

  • Collection choice tied to a named market

"Next market" means nothing three weeks later. Listing your actual dates turns a vague promise into a handover you can both diary.

  • An optional social handle

Makers sell through photos. Asking for a handle — clearly optional — turns a custom order into content and a tagged post.

  • A lead-time line in the description

"Made to order in 2–3 weeks" at the top of the form is the single most useful sentence you can write. It sets the clock before anyone starts counting.

Craft fair order form template FAQ

+What should a craft fair order form include?

Your products with prices, any personalisation options with their character limits, a shipping line, how and where the customer will collect, your lead time, and contact details — email plus phone or a social handle.

+How do I take custom orders at a market without a card reader?

Take the order details on the form and settle payment separately — a payment link in your confirmation message, or payment on collection at the next market. The form's job is to make sure the order itself never gets lost.

+How should I charge for shipping?

A flat rate as a product line is the simplest approach for makers: the customer ticks it, the total includes it, and nobody has to negotiate postage over DMs.

+Can I run this from my phone at the stall?

Yes — the online version is a web page. Keep it open on a tablet or your phone, or print a QR code so customers can order from their own device while you serve someone else.

+Can I use the template in Google Docs or Sheets?

Download the .docx or .xlsx and upload it to Google Drive — it converts on open. We can't offer "make a copy" Google links because those have to be hosted from a Google account.
