Launches, drops & made-to-order

Pre-order form template

A pre-order is a promise in both directions: they commit to buying, you commit to making. The form is where that promise gets written down — quantity, price, and the date it lands.

This template is built for small batches and launches: a hard closing date, a cap on every line so you don't oversell the kiln, and a fulfilment choice so you know what you're shipping versus handing over.

Field by field

What to put on a pre-order form

  • A hard closing date in the description

Pre-orders without a deadline never convert — the deadline is the product. Put it in the first line of the description and honour it.

  • A maximum quantity on every line

Your batch size is finite. A per-line cap is the difference between a sold-out run and forty apology emails.

  • Shipping as a priced line, with a fulfilment choice beside it

Shipping is the most common reason a pre-order total is disputed. Anything with a price must be a product line so the total computes — put the flat rate on a line capped at one, and keep the pickup-or-ship dropdown for the intent. A rate written into an option label is only text, and it never reaches the total.

  • An optional "needed by" date

Gifts have deadlines. Knowing about them at order time lets you sequence the run instead of rescuing it.

Pre-order form template FAQ

+What is a pre-order form?

A pre-order form takes orders for something you haven't made or received yet. It records the item, quantity, price and buyer details, and it states clearly when the goods will be ready — so both sides know what was agreed.

+How do I stop a pre-order run from overselling?

Put a maximum quantity on every product line and close the form once the run is full. In the spreadsheet version, the order log tallies units per product so you can see the cap approaching.

+Should I take payment up front for pre-orders?

Deposits are common for made-to-order work and full payment is common for drops. This form captures the order and the total; you collect payment with your usual method — a payment link in the confirmation email is the simplest.

+How long should a pre-order window stay open?

Two to four weeks is typical. Long enough that your audience sees it more than once, short enough that the deadline still feels real.

+Can I reuse this template for the next drop?

Yes. Duplicate the file, or with the online version edit the product list and dates and reuse the same link — past orders stay in your dashboard.
