What to put on a photo order form

  • Packages priced clearly, à la carte beside them

    Most parents buy a package; some want one extra print. Listing packages and single prints as separate lines captures both without a pricing conversation.

  • A required subject name and group

    It's the field that gets the right photos into the right hands. Make both required — the name matches the shot, the group sorts the delivery to the correct classroom or team.

  • Digitals as their own line

    Digital files carry no printing cost and a different margin. Give them a dedicated line so the customer chooses them deliberately and the total reflects it.

  • A delivery choice, asked once

    Office drop-off, email-only, or shipped — three very different fulfilment paths. Asking up front stops a stack of prints going to a school that expected email links.

+What should a photography order form include?

Packages and à la carte prints with prices, digital options, the background choice, the subject's full name, their class or team, a delivery method, and the ordering parent's contact details. The subject name is the field that matters most — it's how orders get matched to photos.

+How do I match orders to the right photo?

Make the subject's name and their class or team required on every order. With the online version you can sort or export the dashboard by group, so a whole classroom's orders come off the list together.

+Can I sell digital downloads with this form?

The form captures the order for digitals as their own line; you deliver the files your usual way — an emailed download link is the norm. In-form file delivery and payments are on the roadmap.

+Does this work for sports and portrait sessions too?

Yes. Rename the packages, swap "class" for "team" or "session", and the same structure covers school, sports league and studio portrait orders.
